FREDA Privacy Notice
Version FREDA-PN-2026-10-24-01
Effective October 24, 2026
1 Who we are and what this notice covers
GAGNER SERVICES GROUP, LLC operates FREDA, an AI-assisted disaster-recovery research platform. This notice explains information processing in the FREDA app, including pilot access. It does not require active pilots to accept the separate non-pilot user agreement. Privacy and support contact: michael@gagnerservicesgroup.com. Do not email passwords or sensitive survivor records.
2 Information you provide and how it is used
Accounts and sign-in. We process your email address, account identifier, invitation or access status, and authentication information to manage access. Passwords entered in the app pass through its server to Supabase authentication. FREDA does not save the password as an application record. Authentication tokens and a secure session cookie support signed-in use.
Research conversations. Your question, relevant conversation context, selected desk, and persona are sent through FREDA to OpenAI to generate a response. OpenAI web-search tools may be used to research your question. The normal chat interface holds conversation history in the current browser page rather than a saved FREDA account chat archive. Resetting or closing that page does not retract information already processed by providers or delete a file you downloaded.
Personal Watch. Your saved criteria, time zone, criteria revisions, generation attempts, report text, sources, model information, and timestamps are stored in Supabase under your account. Criteria are sent to OpenAI to generate Watch reports. Personal Watch is account-scoped rather than shared with other ordinary users; authorized operators and providers may process records for service delivery, support, security, and legal obligations.
Voice and exports. Read-aloud sends the selected text to OpenAI to generate audio. Optional microphone dictation uses your browser's speech-recognition service, which may process audio through the browser provider; the transcript appears in the question field before you submit it. Browser permissions and provider terms apply. Word/PDF exports are generated from the answer you select. Email sharing opens your mail application; FREDA does not automatically send the message. Your downloaded files and sent messages are also governed by the destinations you choose.
Survivor worksheet. Optional household, income, damage, assistance, and broad child/disability/accommodation answers are processed in the browser page to create a preparation checklist. The worksheet does not send these answers to FREDA's server or OpenAI, save them to your account, or submit an official application. It fetches a program directory, not answer-specific AI research. The app clears answers when you reset or leave the page. Printing or saving uses your browser and chosen destination; protect that copy. Do not enter names, exact addresses, identifying case details, or supporting records.
Support. If you contact us, we receive your contact details and the information you choose to provide so we can respond and address the request.
3 Providers and technical information
Render hosts the app; Supabase provides authentication and saved-data storage; OpenAI processes AI research and read-aloud requests. These providers receive information needed for their functions. Provider processing, security logs, and retention are governed by the applicable service arrangements and settings. FREDA sends AI research requests with response storage disabled; this is not a promise of zero provider retention, immediate deletion, or a particular model-training practice.
Network requests necessarily involve technical information such as IP addresses. FREDA uses a short-lived, in-memory network-address check to limit sign-in attempts. Hosting and authentication providers may maintain operational or security logs. Product analytics collection and advertising trackers are not enabled in the FREDA app; this statement does not cover a separate marketing website. Essential session cookies still support sign-in. We may disclose information when legally required or to address security, fraud, or rights-related issues, subject to applicable law.
4 Agreement acceptance records
When you affirmatively accept a non-pilot agreement, FREDA records your verified account UUID, receipt identifier, agreement version and content hash, UTC acceptance time, free or paid access classification and revision, pilot-conversion status identifier where applicable, and the affirmative checkbox action and declaration. The exact agreement text and checkbox statement are preserved with the version. These acceptance records do not contain your password, IP address, user-agent string, research prompts, or payment-card information. This limitation concerns the acceptance record, not routine network or authentication processing described above. Active pilot access is exempt from this agreement-acceptance requirement.
5 Retention and requests
Saved account and Watch records persist beyond a browser session. A fixed deletion schedule for those records has not been established. Agreement acceptance records have no automatic deletion schedule pending adoption of an approved retention policy; records subject to legal holds or other legal duties must be preserved as required. This does not waive any applicable access, correction, deletion, or other privacy right. Provider logs and backups can have different retention arrangements. Closing the app or signing out does not delete saved records, provider records, backups, or downloaded copies.
You can update Watch preferences in the app. Contact michael@gagnerservicesgroup.com to ask about your information, request a copy of your acceptance record, request correction, account closure or deletion, or raise a privacy concern. We may need to verify your identity and clarify the request. We will handle applicable legal rights according to law; some information may need to be preserved. We do not promise instant or complete erasure from every system.
6 Information to avoid and notice changes
Use public program information and only the details necessary for research. Do not submit passwords in prompts, Social Security or payment-account numbers, sensitive survivor case files, health or immigration records, private shelter locations, or identifying information about children without a separately authorized processing arrangement. The optional local worksheet may use non-identifying household answers as described above; do not add identifying sensitive records or copy them into AI prompts. FREDA is intended for adult users. No system is risk-free, and this notice does not claim a security certification or specialized regulatory compliance.
We will identify a revised notice by its version and effective date and provide any notice or consent required by law for material changes. This notice is not blanket consent to unrelated processing. External sites and your browser or email provider have their own data practices.
